Bookings and payments
Payment terms
- All bookings require payment in advance at the time of booking.
- A deposit of 30% secures the date unless agreed otherwise in writing.
- Day tours and transfers must be paid 24 hours before departure.
- Multi-day tours must be paid 30 days before departure.
- Bookings made within 30 days of departure require full payment.
- Corporate account terms must be agreed in writing.
Cancellations
Cancellation policy
We recommend comprehensive travel insurance to cover cancellation costs. If a booking is cancelled by the client, the following fees apply:
- More than 30 days before departure: deposit retained.
- 15 to 30 days before departure: 50% of the total booking value.
- 7 to 14 days before departure: 75% of the total booking value.
- Within 7 days of departure: 100% of the total booking value.
If you booked through a third party, cancellations must be handled directly with the third party.
Weather and force majeure
Weather and safety
Weather in the Highlands can change quickly. We reserve the right to cancel or alter services due to adverse weather or safety concerns. If cancellation is necessary, we will offer rebooking where possible.
Delays and extra time
Additional hour charges
If delayed or detoured due to road closures, accidents, weather, flight delays, guest delays, or external disruption, additional time is charged as follows:
- Luxury Saloon / MPV: £75 + VAT per additional hour per vehicle.
- SUV / S Class: £80 + VAT per additional hour per vehicle.
Driver overnight costs
Overnight accommodation
- Driver overnight accommodation: £150 + VAT per night.
- We reserve the right to charge higher rates for last minute bookings or high-demand areas.
Safety
Guest safety and conduct
- Seatbelts must be worn at all times.
- Guests must follow driver-guide and chauffeur instructions.
- We reserve the right to refuse service if safety is compromised.
- Alcohol must be consumed responsibly and may be restricted if unsafe.

VAT and tips
VAT and gratuities
- VAT is charged at the prevailing rate.
- Tips and gratuities are not included.
Damage and cleaning
Vehicle condition
- Smoking and vaping are prohibited in all vehicles.
- Excessive mess, spillages, or sickness will incur cleaning fees.
- Cleaning fees start at £150 + VAT and may increase for specialist cleaning.
- Damage to vehicle interiors will be charged at cost of repair or replacement.
Child seats
Child seat policy
Child seats are available on request and subject to notice and availability. Please share ages and requirements when booking.
Itinerary changes
Route flexibility
- Opening times and availability can affect stops and activities.
- Traffic, weather, and local conditions may require route adjustments.
- We will make reasonable efforts to accommodate requested changes.
Liability
Liability limitations
- Travel insurance is required to cover cancellation costs.
- Third party bookings must be cancelled through the third party.
- We are not liable for third party closures or schedule changes.
- We are not liable for missed flights caused by factors outside our control.
- Clients are responsible for personal belongings.
Photography
Photos and marketing
We may take photos of scenery or vehicles for marketing purposes. We do not photograph clients without their consent.
User photo submissions
Photo upload terms
The following terms apply specifically to photographs submitted by users to our Highland Photography gallery at venturehighland.com/highland-photography. These terms do not apply to any other images, graphics, or photography used elsewhere on the Venture Highland website, which remain the property of Forbes Highland Ltd or their respective licensors.
By uploading a photograph to our Highland Photography gallery, you agree to the following terms:
- You confirm that the photograph is your own original work, or that you have full permission from the copyright holder to submit it.
- You grant Forbes Highland Ltd (trading as Venture Highland) a worldwide, non-exclusive, royalty-free, perpetual licence to use, reproduce, publish, distribute, and display the photograph across our website, social media channels, marketing materials, press kit, and any third-party platforms used to promote Scotland and Highland tourism.
- You retain full ownership of the original photograph. This licence does not transfer copyright.
- Where reasonably practical, the photographer will be credited by name alongside the image and via a link to www.venturehighland.com. We cannot guarantee credit will be included on every use, particularly where images are shared by third parties.
- We may optimise, resize, crop, or reformat submitted photographs for web use, social media, or print. We will not materially alter the content of the image.
- All submissions are subject to moderation. We reserve the right to reject, remove, or decline to publish any photograph at our sole discretion and without notice.
- Third parties (journalists, bloggers, tourism bodies) may use photographs published in our gallery for fair web use only, which includes blog posts, articles, editorial features, social media, and non-commercial web content about Scotland and Highland tourism. A credit link to www.venturehighland.com is required.
- Any other use (commercial, print, advertising, merchandise, paid media, or use beyond fair web use) requires a separate written agreement with both the photographer (as copyright holder) and Venture Highland. Please contact hello@venturehighland.com to discuss licensing.
- You agree not to upload photographs that contain identifiable individuals without their consent, or content that is offensive, defamatory, or infringes any third party rights.
- If you wish to withdraw a photograph, please contact us at hello@venturehighland.com. We will remove it from our website within a reasonable timeframe, but cannot recall copies already shared or published by third parties.
- We accept no liability for unauthorised use of photographs by third parties once they have been published online.
Photographs by Venture Highland drivers and guides
- Photographs taken by Venture Highland drivers, guides, or any other contractors or employees of Forbes Highland Ltd during the course of their work (including during tours, transfers, and any other services provided by Venture Highland) are the exclusive intellectual property of Forbes Highland Ltd.
- Drivers and guides who upload photographs to the Highland Photography gallery acknowledge and agree that all rights, title, and interest in those images vest with Forbes Highland Ltd from the point of creation.
- The photographer will be credited by name on the image page as a courtesy, but this does not confer any ownership or licensing rights to the individual.
Local business mentions
- Uploaders may optionally mention a local tourism-related business (such as a hotel, restaurant, shop, or attraction) alongside their photograph. This is provided as a courtesy and does not constitute an endorsement, partnership, or advertising arrangement between Venture Highland and the named business.
- Venture Highland reserves the right to edit or remove any business mention at its sole discretion.
